- English is the official language of the trip.
- Under no circumstances will it be permitted to divert any participant to separate programs during the trip.
- It is mandatory to bring an original identity document (original passport OR original identity card – RNE. Protocols and copies are NOT valid).
- It is mandatory to have health insurance with coverage within the national territory for the duration of the trip. If you do not have it, contact your exchange program organization.
- Belo Brasil Tours can assist in purchasing round-trip airline tickets for participants after official travel confirmation. Please note that participants must pay Belo Brasil Tours for the tickets within 5 calendar days of ticket issuance. If a participant requests a ticket change after purchase, they will be fully responsible for all exchange expenses, including any travel and cancellation fees.
- If a participant purchases a ticket independently, without authorization from Belo Brasil, and before official confirmation of the trip, we will not be responsible for any airline ticket exchange fees. The company sets official arrival and departure times for participants on all trips, in order to schedule monitors to meet them at airports and bus stations.
IMPORTANT 1: BRAZILIAN LAW FOR UNACCOMPANIED MINORS (under 16 years old)
According to Brazilian law, minors under 16 years of age residing in Brazil who wish to travel without their Brazilian parents or legal guardian must have a special authorization, signed by the host family and with a notarized signature, in order to do so. In addition, the unaccompanied minor must complete all requirements of the airline/bus company. You should request this special authorization from your nearest notary office.
NOTE: Travel authorizations that are not issued and notarized by a notary office in Brazil ARE NOT VALID. It is MANDATORY that minors under 16 years of age carry an original copy of the authorization document signed by the host family, with the signature notarized and authenticated by a notary office. Without this authorization and any other documents required by the airlines/bus companies in question, these companies have the right to refuse boarding and not reimburse the lost ticket. It is important to mention that each airline/bus company has its own rules and requirements for transporting unaccompanied minors under 16 years of age, and you should check with these companies before purchasing any ticket. The companies also have the right to require additional documents, in addition to the notarized authorization.
IMPORTANT 2: It is the responsibility of the families of minors under 16 years of age, who will be traveling unaccompanied by a legal guardian, to verify the boarding rules of each airline/bus company. Furthermore, families are obligated to obtain all necessary and recognized authorizations, including verifying any additional documentation that may be required by each airline/bus company directly with them. Belo Brasil is not responsible for any incidents arising from the submission of incorrect documentation, failure to meet the necessary boarding requirements on airlines/buses, or any decisions by airline agents that may result in flight cancellations/delays, or disruption of the contracted travel schedule.
IMPORTANT 3: Belo Brasil is not responsible for any flight delays or cancellations resulting from airline decisions, nor for flights purchased in violation of official arrival and departure times for each trip. Participants are responsible for any costs arising from these unforeseen events, such as possible daily monitor fees (approx. R$150.00/day), hotel/airport/hotel or hotel/bus station/hotel transportation (between R$50.00 and R$200.00 – prices may vary depending on the city and location), and also the costs of any hotel stays (prices may vary depending on the city and hotel, and will be informed to the participant, who must pay for their stay(s) directly at check-in).
IMPORTANT 4: It is MANDATORY to purchase airline tickets for the Amazon Expedition through Belo Brasil. Airline tickets are part of the travel package, but are NOT included in the price of the trip itself, and flight prices will be communicated to each participant after official confirmation of the trip, via email. Due to the complex logistics of this trip, Belo Brasil reserves the right to control all arrivals and departures for the Amazon Expedition. If any participant insists on purchasing flights independently and without Belo Brasil’s consent, their trip will be automatically cancelled.
- It is expressly forbidden to possess or use any kind of drugs, legal or illegal. It is expressly forbidden to consume alcoholic beverages of any kind, smoke cigarettes, cigars, cigarillos, hand-rolled cigarettes, or other cigarettes of any kind during the trip, even if the participant is over 18 years of age, under penalty of early return to their host city and notification to the exchange program and family(ies).
- Participants are prohibited from getting piercings and tattoos during the trip.
- “Pranks” involving taking items from supermarkets, stores, hotels, etc. will be severely punished.
- The established travel times are indicated in the program and must be respected. The organization reserves the right to make changes to the schedule, provided they are made for the benefit of the group or due to force majeure.
- Accommodation does not include expenses such as phone calls, minibar charges, porters, laundry, etc. Any extra expenses must be paid by you.
- Pack as little luggage as possible, as you will have to carry it and be responsible for it at all times. The maximum allowed is one suitcase weighing up to 23kg. Remember to bring a small backpack to take on board the plane, respecting the regulations regarding items that can be carried on board, containing everything you need during the trip.
- The return times for our activities will be determined by the trip coordinators, depending on subsequent activities.
- Vacancies will be filled according to the order in which each registration form is received.
- There must be a minimum of 35 registrations for the trip to begin. The maximum number of participants depends on each trip.
- Belo Brasil Tours reserves the right to operate the itineraries in reverse, if necessary, due to the number of participants and/or the availability of airline tickets.
- Swimming: even if you know how to swim, BE CAREFUL! You don’t know the area well. Never go too far.
- For the Northeast – Dream Trip – Half Trip, there is a limited number of places available, in accordance with Brazilian land transport legislation. Each trip may have a maximum of 4 to 7 pairs per bus. Registrations will be confirmed in the order they are received and according to the availability of pairs.
EXTRA EXPENSES
- They vary from person to person and from trip to trip. Remember to bring your credit/debit cards to buy snacks, meals not included in the travel program, gifts, etc.
- Bring some cash in Brazilian Reais to use in places that don’t accept debit/credit cards. In some locations, you won’t have easy access to banks (e.g., in the Pantanal and the communities we’ll visit in the Amazon).
- Traveler’s checks: In Brazil, they are not widely used. Businesses generally do not accept them. Do not bring traveler’s checks.
- The hotels where we will be staying include breakfast. We recommend having a good breakfast so you can start your day well-nourished.
- Round-trip transfers from your home or host city to the nearest airport where you will board your flight to the trip’s meeting point, as well as transfers between bus stations and airports, are NOT INCLUDED. This also applies to your return from the trip’s final destination to your home or host city!
- All “optional” programs mentioned in the itinerary have an extra cost and are therefore not included in the price of the trip.
HEALTH
- Yellow Fever: It is recommended that participants be immunized against yellow fever. The vaccine should be taken at least 10 days before the start of the Amazon Expedition. It is not necessary to bring proof of vaccination for the trip.
- COVID-19: We recommend bringing proof of complete COVID-19 vaccination. A negative PCR test may also be required.
- If you take any medication regularly, bring enough for at least the entire duration of the trip. All participants will have to fill out a medical form containing their name, address, blood type, allergies, etc. Important: your health is extremely important for you to fully enjoy the trip. Take care of it! We will be exposed to the sun most of the time. Be very careful. Always use sunscreen.
CANCELLATION/ABANDONMENT AND REFUND POLICY
- Common sense should prevail. If the conduct of any participant is deemed incorrect or detrimental to the smooth running of the excursion, or if any of the rules of the trip and/or the exchange program are broken, you may be immediately returned to your city, with notification to those responsible and at your own expense.
- If the minimum number of participants is not reached, Belo Brasil Tours reserves the right to cancel the trip, as well as reschedule and/or offer other itinerary options, by mutual agreement with the client. In this case, a full refund of the payment already made will be issued, excluding bank fees (10% handling fees and taxes) and other return costs to the country of origin.
- In the case of cancellations requested due to illness or critical health conditions that prevent the participant from traveling, Belo Brasil Tours will provide a full refund of the amount paid for the trip (land portion), excluding bank fees (10% handling fees and taxes) and other return costs to the country of origin. It is mandatory that the participant or family submit a duly authenticated written medical justification for the cancellation to be processed.
- Belo Brasil Tours disclaims responsibility for the refund/cancellation policies of each airline or bus company, as these companies are responsible for defining their own policies. This includes, but is not limited to, ticket cancellation fees, denied boarding due to lack of necessary or mandatory documentation, flight cancellations for any reason, etc. The refund or compensation offered by each company is the sole responsibility and decision of these companies, and these policies are specific to each ticket and/or passenger. The rules for each ticket can be consulted directly on the respective company’s website.
- All refunds of amounts paid to Belo Brasil for the trip (land portion) will be made, whether in full or in part, in accordance with the rules presented in these general conditions, and in accordance with current legislation on cancellations (described below), excluding bank fees (10% handling fees and taxes) and other costs of returning the vehicle to its country of origin. Refund amounts will also be calculated based on the amount received in foreign currency (USD) and converted to the official Brazilian currency (BRL), taking into account the exchange rate on the day the international transaction was closed, and not the exchange rate on the day the refund is made. The exchange rates to be considered will be those published as the “official Banco do Brasil rate”.
- Refunds will be processed in accordance with tax regulations, meaning in the same manner in which the payment was made. International transfers received can only be returned to the participant’s country of origin.
- If the passenger cancels the scheduled trip, or is returned due to a breach of rules, they will be subject to a penalty that will vary according to the advance notice of their written cancellation request, the agreed price, and the EMBRATUR Normative Deliberation No. 161/1985, with the following percentages:
Cancellation more than 30 days before the start of the trip: 10% penalty on the amount paid.
Cancellation between 29 and 21 days before the start of the trip: 20% penalty on the amount paid.
Cancellation between 20 and 7 days before the start of the trip: 40% penalty on the amount paid.
Cancellations made 6 days or less before the start of the trip: 100% penalty on the amount paid.
- Participants who have registered and paid for a trip and wish to change to another may do so, provided there are still vacancies available on the requested trip.
- Participants who decide to discontinue the entire program, or part of it, during the trip will not be entitled to any refund or reduction of the agreed-upon amounts.
- The cancellation or withdrawal request must be made in writing by the participant or their family to Belo Brasil Tours.
- Please note that boarding is only possible with an original identity document.
- IMPORTANT: Trip cancellations due to events/developments related to the COVID-19 pandemic may occur. In these cases, a 10% penalty will be applied to the amounts paid to cover fees.
LOST AND FOUND
- Belongings found during the trip will be sent to the Belo Brasil Tours office and kept for up to 30 days after the end of the trip. Participants who have lost any items must send an email to Belo Brasil Tours within the aforementioned period. The cost of shipping the item via Sedex (Brazilian postal service) is the responsibility of the participant.
IMAGES AND VIDEOS
- Image rights: the trip participant grants the right to use their image for the production of trip videos, if any, as well as the posting of photos on our website, Instagram, and the company’s social media. Images may also be used in printed travel programs.
OTHER ISSUES
- In the case of complaints regarding the provision of services, the client shall submit them in writing to Belo Brasil Tours within 30 (thirty) days after the completion of the services, in accordance with article 26, item I, paragraph 1 of the Consumer Protection Code. If this is not done within this period, the contractual relationship will be considered perfect and complete, releasing the Operator from any liability.
- Agreement: By requesting registration in any travel program organized by Belo Brasil Tours, the client declares to know and agree to all the terms of these “general conditions,” which can be found on our website.
- If a participant is late for the pre-determined departure time for excursions and any other trip activity, a team member will wait for their arrival while the group proceeds with the scheduled activities. The late participant must take a taxi/Uber (buses are not allowed) or chartered van, depending on the number of participants and local logistics, to meet up with the group. The cost of this transportation is the sole responsibility of the participant and must be paid directly to the transporter.
Early return (rules violation or illness)
- The early return of participants due to health issues or rule violations will be subject to the following conditions:
- Any participant who violates a travel rule or is in a fragile state of health and unable to continue the trip may have their activities interrupted and their return to their city in Brazil brought forward.
- This decision is made by the trip coordinator, and the participant will be informed immediately.
- All expenses arising from early return (travel, food, accommodation, tour guide, etc.) are the sole responsibility of the participant.
- Participants who are recalled from a trip due to a rule violation will not receive a partial refund of the trip and will be responsible for paying any outstanding installments, if applicable.
- It is forbidden for guests from different rooms to stay together or congregate in the same hotel room.
- Dating or being with another person is not allowed during the trip.
- All trips have a curfew for participants to be in their rooms. The curfew is set by the trip coordinator and is based on the trip’s activities and group behavior. If any participant leaves their room after the stipulated time, they will be subject to disciplinary measures determined by the coordinator.
